Payroll & Benefits Specialist

Canon Medical Systems Canada is a leading worldwide provider of high-quality diagnostic imaging systems and comprehensive medical solutions. We are looking for a highly capable Payroll and Benefits Specialist to work in our Markham, Ontario, head office.

Reporting to the Director of Human Resources, you will be responsible for administering Canon Medical Systems’ bi-weekly payroll, ensuring employees are paid accurately using a variety of systems. You will be a key member of the HR team and be the front line for all employees across Canada. 

Major Responsibilities

Payroll

  • Process bi-weekly payroll for all employees across Canada
  • Audit and review the output of payroll for accuracy and completeness
  • Investigate discrepancies and process adjustments
  • Set up new hires, calculate and process salary increases/rate changes/overtime/commissions/bonuses, and terminations through Payworks
  • Work closely with the finance team, preparing bi-weekly payroll reports and monthly GL’s 
  • Prepare & provide statistical analyses as required by various government agencies
  • Complete year-end process (i.e., T4, WSIB, Revenue Canada/Quebec, EHT, etc., annual reconciliations)
  • Update and maintain records according to federal and provincial statutes
  • Prepare Records of Employment, Garnishments, and Government Remittances not prepared by Payworks
  • Keep abreast of changes to payroll-related legislation and trends in payroll and benefits
  • Other special projects and duties as assigned by CMSCA Management
  • Adhere at all times to all CMSCA policies, including environmental, health and safety, and confidentiality policies, in their entirety. 

Benefits

  • Strong understanding of benefit administration and Group Pension Plans; this includes vendor interactions and being the front line for all employee inquiries relating to enrolments, coverage, claims, short- and long-term disability claims, and terminations      
  • Ensure efficient delivery, updating, and maintaining benefit information
  • Enroll employees, make changes, and process terminations to all group insurance and pension plans
  • Ensure the accurate and timely processing of all benefit-related documents
  • Reconcile benefit deductions to billings, investigate discrepancies, process adjustments, and prepare payments to carriers
  • Have a good understanding of Workers’ Compensation, including monthly, quarterly, and annual remittances, year-end reconciliations, and claims processing


Qualifications 

  • Experience using Payworks Payroll system strongly preferred
  • Payroll Leadership Professional (PLP) Certification with the National Payroll Institute
  • Minimum 5 + years of Payroll & Benefits Administration
  • Excellent customer service skills and strong interpersonal skills, both verbal and written
  • Attention to detail with strong organizational skills, with the ability to multitask and manage multiple priorities to meet tight deadlines 
  • Strong knowledge and expertise in processing multi-provincial payrolls and provincial Labor Laws
  • Ability to oversee highly confidential and sensitive information
  • Advanced knowledge of Excel, Word, and Outlook 
  • Well-versed in Employment Standards and all government legislation related to payroll, including familiarity with Privacy laws
